Sperry Software's Attachment Save for Microsoft Outlook (continued)

What I thought was great is that Attachment Save allows you to scan all of your previous email messages, not just the new ones that come in, and manage the attachments. This feature works perfectly with your Sent Items folder, where you most likely have copies of all of your attachments as well.

Setting it up
Upon launching Microsoft Outlook, two new tabs on your Outlook toolbar (Sperry Software Add-ins and Attachment Save) indicate that the Sperry Software Attachment Save application is installed and operationally ready. You can customize your attachment management by selecting options from three settings tabs and one utilities tab.

The program's first tab is called the Overall Settings 1 tab, shown in Figure A.

From the Overall Settings 1 tab, shown in Figure A, you can:

  • Choose a single or multiple folders from which you want to extract attachments.
  • Check the Automatic box if you want Attachment Save to save your email attachments automatically.
  • Check the Show Button in Outlook Window box if you want a button added to your Outlook toolbar. Pressing the button will save the email and/or attachments of the currently selected email messages.
  • Under Filtering Rules, choose to save all attachments or only those that match a specified Subject, Filename, From a Specified Sender, or is greater than a certain size in kilobytes.

Moving on to the second Overall Settings tab, shown in Figure B, you can do some interesting destination processing.

Not only can you choose your destination, but you have a lot of control over how the files are managed. Roll over picture for a larger image.

From the Overall Settings 2 tab, you can:

  • Click Choose Folder to select the folder in which you want to save the attachments.
  • Under Save Options, you can click the boxes to Automatically rename the file, Mimic the Outlook folder structure, or Prompt to save files when saving automatically.
  • Click Rename Options to rename an attachment by giving it a Template Filename using Keywords.
  • After an email message is processed, you can define handling by choosing to Mark it as read, Keep it as unread, or Delete it altogether.

A third tab is the Specific Settings Menu, shown in Figure C.

The Specific Settings Menu allows you to control how your emails and attachments are saved. Emails may be saved in a number of formats: Outlook, HTML, Text, Outlook Express, or TNEF. Also, you can choose not to save emails at all.

You can also change the Read/Write status of attachments by making file attachments read only, read/write, or you can choose not to change the status at all. If you enable saving of attachments, you can choose from the following specific settings:

  • Remove attachment from the email
  • Include a link to the saved attachment
  • Retain a paperclip icon
  • Automatically re-attach when composing replies
  • Always remove attachments in Sent Items
